Administrative Assistant – Career & Technical Education, Middle College
 

POSITION SUMMARY:

Provides secretarial and clerical support for Career & Technical Education (CTE) staff and programming (Perkins Grant, Jacobetti Center Programs, Marquette-Alger Technical Middle College (MATMC), Work-Based Learning) and Career Guidance. Serves as Administrative Assistant for Director of Career and Technical Education.

 

MINIMUM QUALIFICATIONS:

  • Post-secondary experience or Associate Degree in relevant area
  • Four years of related secretarial/office experience 
  • Strong accounting or finance background
  • Proficient computer/software skills including Microsoft Word, Excel, FileMaker Pro, PowerPoint, Google, and Zoom
  • Excellent filing and organizational skills
  • Strong verbal and written communication skills 
  • Professional attitude and appearance
 

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree in relevant area
  • Experience in / knowledge of Career and Technical Education
  • Experience with grant applications, reports, and procedures
  • Knowledge of fiscal procedures (POs, invoicing, coding expenses, etc.)
  • Experience with setting up for meetings, trainings and workshops

ESSENTIAL DUTIES AND RESPONSIBILITIES:  
  • Provide secretarial and clerical support for CTE, MATMC, and WBL staff and programs
  • Assist with scheduling and coordination of high school classes at NMU’s Jacobetti Center
  • Assist with gathering and compiling data and financial reports for grant submissions, including Perkins and State grants
  • Maintain accurate financial records, including POs, invoicing, and coding
  • Maintain detailed database and records for internship students, contacts and placements
  • Ensure paper records are filed and accessible by CTE, MATMC, and WBL staff
  • Update Career and Technical Education Information System (CTEIS) database information
  • Participate in CTEIS conference calls to stay up to date on current reporting requirements
  • Conduct telephone surveys with CTE and MATMC graduates and document results
  • Provide support for scheduling, preparing for, and creating materials for CTE, MATMC, and WBL events
  • Direct students and parents to requested resources and address their questions as appropriate
  • Provide support for administrative processes related to Summer Job Club and Department of Natural Resources (DNR) programs, including processing staff and student time cards
  • Make/manage conference, hotel, and car reservations for staff 
  • Collect and process time cards and time logs
  • Prepare correspondence and documents as requested
  • Scan and file documents in electronic storage system
  • Complete special projects as needed, such as assisting with updating online resources for CTE, MATMC, and WBL
  • Perform general administrative / clerical duties such as filing, photocopying, faxing, and creating purchase orders
  • Assist with Marquette-Alger RESA website updates
  • Interact with the public in a positive, courteous, and professional manner via email, phone, and in person
  • Provide front desk coverage as requested/assigned
  • Perform other duties and responsibilities as assigned

  • Demonstrated experience exercising confidentiality and sound judgment in dealing with local districts, staff, students, and operations
  • Ability to work on multiple projects and maintain proactive communication with stakeholders
  • Ability to deal with issues in a fair manner, treat diverse populations and personalities with dignity and respect, and act in a highly ethical manner
  • Ability to work in a fast-paced environment yet maintain flexibility in thinking and actions
  • Detail-oriented with strong analytical skills; skilled with Excel and/or Google Sheets

SPECIAL CONDITIONS: Perform position duties and functions while upholding confidentiality of privileged and sensitive information

TERMS OF EMPLOYMENT: Full time position. Must have regular and reliable job attendance, performance, and the physical ability to do the job

REPORTS TO: Director of CTE / CEPD

COMPENSATION & BENEFITS: According to Marquette-Alger RESA ESP Collective Bargaining Agreement. Starting wages are $17.98-20.24/hour.
