POSITION SUMMARY:

Provides secretarial and clerical support for Mental Health Team, 31N Grant, McKinney-Vento, Northcare, Adolescent/School Health, Nutrition/PE-Nut programs, and Health Resource Advocate(s). Serves as Administrative Assistant for Director of Mental Health Services

QUALIFICATIONS:

  • Four years of related secretarial/office experience 
  • Post-secondary experience or degree in relevant area preferred
  • Possess the ability to:
    • Organize short and long term projects
    • Establish and maintain filing systems (physical and electronic)
    • Problem-solve and apply principles of logical thinking
    • Accurately complete fiscal procedures (e.g., generating POs, invoicing, coding expenses)
  • Proficiency with software/applications including Microsoft Word, Excel, PowerPoint, Google Suite, Zoom
  • Excellent filing and organizational skills
  • Experience making/managing conference, hotel, and car reservations
  • Strong verbal and written communication skills 
  • Must demonstrate initiative and the ability to work independently
  • Professional attitude and appearance

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Provide support for the Mental Health Services team including the director, mental health specialists, psychologists, school social workers, health resource advocates, and student wellness coordinators.
  • Provide secretarial and clerical support for grants including but not limited to 31N, McKinney-Vento, and Northcare 
  • Support 31N team with Wisdomwhere event registration, room reservations, purchasing, event attendance rosters.
  • Support Nutrition/PE-Nut programs with ordering; purchasing; distribution of correspondence and materials; maintaining inventory of workbooks; and processing travel reports
  • Support Adolescent/School Health programs with creating event attendance rosters, maintaining/tracking inventory, preparing mail merges/mailings, shipping materials; and tracking Michigan Model for Health (MMH) licenses
  • Prepare and process purchase orders and invoices for 31N grant/team
  • Build and monitor Wisdomwhere events, assist with event registrations, and perform wrap-up/billing tasks at event conclusion
  • Reserve conference rooms and assist with ordering food for meetings
  • Sort/distribute mail to McKinney-Vento, Northcare, Adolescent/School Health, and Nutrition/PE-Nut staff
  • Provide support for updating and maintaining information in BHWorks, such as 
    • Completing Releases of Information (ROI's) 
    • Faxing ROI’s or other documentation for coordination of care
    • Uploading coordination of care information into BHWorks
    • Chart audits to help with compliance
    • Prefilling referral information such as DOB, UIC, etc.
    • Decluttering client list (remove discharged clients from providers' active lists)
  • Assist with Marquette-Alger RESA website updates
  • Assist with duties related to processing paperwork for substitute teacher applicants
  • Make/manage conference, hotel, and car reservations for staff
  • Assist with documentation of mileage for Mental Health Services team members
  • Perform general administrative / clerical duties such as filing, photocopying, and faxing
  • Interact with the public in a positive, courteous, and professional manner via email, phone, and in person
  • Provide front desk coverage as requested/assigned
  • Perform other duties and responsibilities as assigned

  • Demonstrated experience exercising confidentiality and sound judgment in dealing with local districts, staff, students, and operations
  • Ability to successfully work on multiple projects and maintain proactive communication with stakeholders
  • Ability to deal with issues in a fair manner, treat diverse populations and personalities with dignity and respect, and act in a highly ethical manner
  • Ability to work in a fast-paced environment yet maintain flexibility in thinking and actions
  • Detail-oriented with strong analytical skills; skilled with Excel and/or Google Sheets

SPECIAL CONDITIONS: Perform position duties and functions while upholding confidentiality of privileged and sensitive information

TERMS OF EMPLOYMENT: Full time position. Must have regular and reliable job attendance, performance, and the physical ability to do the job 

REPORTS TO:  Director of Mental Health Services

COMPENSATION & BENEFITS: According to Marquette-Alger RESA ESP Collective Bargaining Agreement; Starting wage rate of $18.98-$21.24 per hour; Full benefits package.
