POSITION SUMMARY:

First point of contact for Marquette-Alger RESA. Coordinates front-desk activities, including greeting/directing visitors, distributing correspondence, and redirecting phone calls. Provides secretarial and clerical support for the Superintendent and Human Resources. Processes applications and permit process for substitute teachers and aides. Assists with hospitality services for agency meetings and conferences, including scheduling. Portrays a positive image of the organization at all times.

QUALIFICATIONS:

  • Two years of related secretarial/office experience 
  • Post-secondary experience or degree in relevant area preferred
  • Demonstrates the ability to:
    • Exercise sound judgment, as well as be resourceful and proactive when issues arise
    • Organize short and long term projects
    • Establish and maintain filing systems (physical and electronic)
    • Problem-solve and apply principles of logical thinking
    • Accurately complete fiscal procedures (e.g., generating POs, invoicing, coding expenses)
  • Proficiency with software/applications including Microsoft Word, Excel, PowerPoint and Google Suite
  • Excellent filing and organizational skills
  • Strong verbal and written communication skills 
  • Must demonstrate initiative and the ability to work independently
  • Professional appearance; professional and positive attitude

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Interact with the public in a positive, courteous, and professional manner via email, phone, and in person
  • Greet visitors and address inquiries on the phone and in person, providing basic and accurate information
  • Answer, screen and forward incoming phone calls; take and communicate messages when required
  • Act as a point-person for both internal and external customer communications with Marquette-Alger RESA staff, local district personnel, students, parents, and visitors
  • Organize and maintain lobby area, bulletin boards, lobby storage closet and main kitchen areas
  • Monitor visitor access and maintain security awareness
  • Schedule meeting room usage, print signs for meetings as needed, and assist with hospitality services for meetings and conferences
  • Program and update electronic signage in Marquette-Alger RESA lobby with current information
  • Process application paperwork and documentation for substitute teachers and other substitute staff
  • Assist prospective substitutes with completing required paperwork/process for obtaining a permit
  • Process fingerprint background checks for all substitute teachers and substitute paraprofessionals
  • Maintain substitute teacher/paraprofessional files and follow up on any fingerprint background check issues 
  • Manage WillSub and Michigan Online Educator Certification System (MOECS) account, and communicate with NMU department of education
  • Compile paid substitute permit report for local schools, verify sub permits, and maintain sub database
  • Provide secretarial and clerical support for the Superintendent and Human Resources
  • Assist with maintaining up-to-date website content
  • Provide support for merchandise sales in lobby area, track items sold, and monitor for sufficient inventory
  • Receive, sort and distribute daily mail, deliveries, and faxes
  • Receive and complete laminating requests for Agency staff
  • Assist with dissemination of communications to Agency staff
  • Coordinate delivery of supplies and materials to local districts
  • Print ID badges for employees and students
  • Support Wellness & Culture Committee with implementation of projects and events
  • Provide assistance with staff meeting/retreat preparations, set-up, and clean-up 
  • Develop and communicate schedule for local district usage of Ellison machine
  • Monitor inventory, order, and stock supplies for lobby area, beverage cooler and kitchen
  • Transfer records to other agencies as needed
  • Perform general administrative / clerical duties such as filing, photocopying, faxing, and creating purchase orders
  • Perform other duties and responsibilities as assigned

  • Demonstrated experience exercising confidentiality and sound judgment in dealing with local districts, staff, students, and operations
  • Ability to work on multiple projects and maintain proactive communication with stakeholders
  • Ability to deal with issues in a fair manner, treat diverse populations and personalities with dignity and respect, and act in a highly ethical manner
  • Ability to work in a fast-paced environment yet maintain flexibility in thinking and actions

SPECIAL CONDITIONS: 

  • Perform position duties and functions while upholding confidentiality of privileged and sensitive information;
  • Responsible for opening and closing procedures in the front reception area
  • Hours: 7:30 a.m. - 4:00 p.m.

TERMS OF EMPLOYMENT: Full time position. Must have regular and reliable job attendance, performance, and the physical ability to do the job 

REPORTS TO: Director of Human Resources & Communications

COMPENSATION & BENEFITS: According to Marquette-Alger RESA ESP Collective Bargaining Agreement; Starting wage rate of $19.48 - $21.74 per hour.
