Administrative Assistant – Mental Health, McKinney-Vento, Health Education
POSITION SUMMARY:
Provides secretarial and clerical support for school-based mental health team (Mental Health Specialists, School Psychologists, School Social Workers), Student Wellness Coordinators, McKinney-Vento, Northcare, Adolescent/School Health, Nutrition/PE-Nut programs, and Health Resource Advocate(s). Serves as Administrative Assistant for Director of Mental Health Services
QUALIFICATIONS:
- Four years of related secretarial/office experience
- Post-secondary experience or degree in relevant area preferred
- Possess the ability to:
- Organize short and long term projects
- Establish and maintain filing systems (physical and electronic)
- Problem-solve and apply principles of logical thinking
- Accurately complete fiscal procedures (e.g., generating POs, invoicing, coding expenses)
- Proficiency with software/applications including Microsoft Word, Excel, PowerPoint, Google Suite, Zoom
- Excellent filing and organizational skills
- Experience making/managing conference, hotel, and car reservations
- Strong verbal and written communication skills
- Must demonstrate initiative and the ability to work independently
- Professional attitude and appearance
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide support for the Mental Health team including the director, student wellness coordinators, mental health specialists, psychologists, school social workers.
- Provide secretarial and clerical support for the 31N, McKinney-Vento, and Northcare grants activities
- Support staff with Wisdomwhere event registration, room reservations, purchasing of supplies/food, event attendance rosters, and billing tasks.
- Support staff with ordering; purchasing; distribution of correspondence and materials; maintaining/tracking inventory; preparing mailings; and processing travel reports
- Submit State Continuing Education Clock hours (SCECH) applications to MDE and enter SCECH credits earned by participants
- Submit social work continuing education course applications
- Assist with Marquette-Alger RESA website updates
- Assist with Substitute Teacher process
- Make/manage conference, hotel, and car reservations for staff
- Keep track and log mileage for staff funded through 31N grant
- Perform general administrative / clerical duties such as filing, photocopying, and faxing
- Interact with the public in a positive, courteous, and professional manner via email, phone, and in person
- Provide front desk coverage as requested/assigned
- Perform other duties and responsibilities as assigned

- Demonstrated experience exercising confidentiality and sound judgment in corresponding with local districts, staff, students, and operations
- Ability to successfully work on multiple projects and maintain proactive communication with stakeholders
- Ability to deal with issues in a fair manner, treat diverse populations and personalities with dignity and respect, and act in a highly ethical manner
- Ability to work in a fast-paced environment yet maintain flexibility in thinking and actions
- Detail-oriented with strong analytical skills; skilled with Excel and/or Google Sheets
SPECIAL CONDITIONS: Perform position duties and functions while upholding confidentiality of privileged and sensitive information
TERMS OF EMPLOYMENT: Full time position. Must have regular and reliable job attendance, performance, and the physical ability to do the job
REPORTS TO: Director of Mental Health Services
COMPENSATION & BENEFITS: According to Marquette-Alger RESA ESP Collective Bargaining Agreement; Starting wage rate of $18.98-$21.24 per hour; Full benefits package.
