Administrative Assistant – Early Childhood Education
POSITION SUMMARY:
Provides secretarial and clerical support for Early On, Mi Tri-Share, Great Start Readiness Program (GSRP), and Great Start Collaborative (GSC) programs and services. Serves as Administrative Assistant for Director of Early Childhood Education.
QUALIFICATIONS:
- Four years of related secretarial/office experience
- Post-secondary experience or degree in relevant area preferred
- Demonstrates the ability to:
- Organize short and long term projects
- Establish and maintain filing systems (physical and electronic)
- Problem-solve and apply principles of logical thinking
- Accurately complete fiscal procedures (e.g., generating POs, invoicing, coding expenses)
- Proficiency with software/applications including Microsoft Word, Excel, PowerPoint and Google Suite
- Excellent filing and organizational skills
- Strong verbal and written communication skills
- Must demonstrate initiative and the ability to work independently
- Professional attitude and appearance
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist Director of Early Childhood Education with projects, scheduling, correspondence, document creation, proactive reminders of upcoming events/deadlines, and other secretarial/clerical support duties
- Provide secretarial and clerical support for Early On, Mi Tri-Share, GSRP, and GSC programs and services
- Perform Early On referral intakes, acknowledge all referrals, ensure required deadlines are met, and compile Early On referral statistics
- Create, prepare, and maintain files and records for Early Childhood programs, including data entry
- Assist with creating/updating correspondence, forms, contracts, and memos of understanding
- Maintain/order Early On test protocols and supplies
- Schedule evaluations and meetings - internal and external; work closely with CCRESA for external meetings
- Provide data and support for Early On pupil accounting reports
- Mail, track, and compile statistics from Parent Survey for Early On
- Maintain listserv for and distribute monthly Early On Newsletter
- Prepare minutes for Early On staff meetings, and Local Interagency Coordinating Council (LICC) / High Risk meetings
- Prepare LICC membership letters
- Complete monthly mailings for Ages and Stages Questionnaire (ASQ); track/maintain ASQ list to ensure accuracy of queries
- Track and distribute Individualized Family Service Plan (IFSP) due dates for consultants; communicate status of referrals
- Create Unique Identification Codes (UICs) for Great Start Readiness Program
- Create purchase orders, code/process invoices and bills, and provide local agencies with updated invoices and copies of contracts
- Order supplies and materials for Early Childhood Special Education classrooms
- Assist with Marquette-Alger RESA website updates
- Make/manage conference, hotel, and car reservations for staff
- Assist with meeting logistics such as scheduling, reserving conference rooms, and ordering food
- Perform general administrative / clerical duties such as filing, photocopying, and faxing, and creating purchase orders
- Interact with the public in a positive, courteous, and professional manner via email, phone, and in person
- Provide front desk coverage as requested/assigned
- Perform other duties and responsibilities as assigned

- Demonstrated experience exercising confidentiality and sound judgment in dealing with local districts, staff, students, and operations
- Ability to work on multiple projects and maintain proactive communication with stakeholders
- Ability to deal with issues in a fair manner, treat diverse populations and personalities with dignity and respect, and act in a highly ethical manner
- Ability to work in a fast-paced environment yet maintain flexibility in thinking and actions
- Detail-oriented with strong analytical skills; skilled with Excel and Google Sheets
SPECIAL CONDITIONS: Perform position duties and functions while upholding confidentiality of privileged and sensitive information
TERMS OF EMPLOYMENT: Full time position. Must have regular and reliable job attendance, performance, and the physical ability to do the job

COMPENSATION & BENEFITS: According to Marquette-Alger RESA ESP Collective Bargaining Agreement
